Bookkeeper Resume: Examples (2026)

Bookkeeper resume example with summaries, bullets, skills and optional certifications, plus official pay and job outlook figures and a free template.

Template:

A bookkeeper who keeps the books for three small businesses at an accounting firm, applying for an in-house full-charge bookkeeper job at a landscaping and construction company.

Why this resume works

  • The headline says full-charge, the term owners use for a bookkeeper who handles everything up to the CPA, and the summary backs it with payroll for up to 35 employees.
  • The client list includes a landscaping contractor with crew job costing, which is exactly the work the construction company needs done.
  • Clean handoffs are proven with a number: no adjusting entries requested by the CPA for 6 quarters in a row.

Whoever hires a bookkeeper is usually trusting a stranger with the company's bank accounts, so a bookkeeper resume has one main job: make the reader feel safe. An owner or office manager scans for the software you know, whether you can run payroll, how many accounts you reconcile, and whether the accountant who does the taxes has ever had to fix your work. A resume that answers those points plainly, with numbers, beats one full of general praise for being detail oriented.

This guide covers what a bookkeeper resume needs and in what order, how to describe work for several clients at once, summary and bullet examples from entry level to full-charge, the skills and tools postings mention most, the certifications that are optional but useful, and a complete example for a bookkeeper at an accounting firm applying to work in-house. If you prepare financial statements, handle audits or are working toward a CPA, see the accountant resume example instead.

How to write a bookkeeper resume

1

Use the title the employer uses

Postings say bookkeeper, full-charge bookkeeper, accounting clerk or accounts payable specialist, and each means a different range of work. Full-charge means you take the books from daily entries through payroll and reconciliations to the point where the accountant takes over. Put the matching title in your headline, and only claim full-charge if you really do all of it.

2

Say how many books you keep and how big they are

One company or eight clients? A coffee shop or a $10 million contractor? Give the number of businesses, the kind of businesses and a rough size (yearly sales, number of employees on payroll, number of accounts reconciled). It lets the owner picture you handling their volume.

3

Show accuracy with numbers, not adjectives

Everyone writes detail oriented. Show it: reconciliations finished by a certain business day, errors or duplicate payments you caught and the dollar amount, how rarely the CPA had to adjust your work, late invoices you collected. Each bullet should start with a verb and hold at least one number.

4

Name your software exactly

Small businesses run on a short list of tools, and owners want someone who already knows theirs. Write QuickBooks Online or QuickBooks Desktop, not just QuickBooks, and add Xero, Sage, Gusto, ADP, Bill.com or Expensify if you have used them. Advanced Excel skills are worth a line too.

5

List certifications, but know they are optional

No license is required to work as a bookkeeper, so a certification is a way to stand out rather than a requirement. If you hold one, such as the Certified Bookkeeper credential or a QuickBooks certification, list it near the top with the issuing organization and year.

6

Keep it to one page with education at the end

A certificate or associate degree in accounting, the school and the year, then a skills list and any second language, which matters for businesses whose staff or customers speak it. Leave out bank account details or anything confidential about past clients; describe clients by industry, not by name.

Bookkeeper resume summary examples

Pick the one nearest your situation and change the details. Each one says what books you keep, gives proof with a number, names your software and states the job you want.

Entry-level bookkeeper

Accounting certificate graduate with a year as an office assistant at a property management company, where I entered about 200 rent payments a month and matched deposits to the bank statement. Comfortable in QuickBooks Online and Excel. Seeking a junior bookkeeper or accounting clerk role where I can learn payroll and reconciliations.

Experienced full-charge bookkeeper

Full-charge bookkeeper with eight years at a family-owned HVAC company with 50 employees. Run weekly payroll, job cost every service call, reconcile 9 accounts and prepare monthly reports for the owners and the outside CPA. QuickBooks Desktop and ADP; seeking a full-charge role with a larger contractor.

Senior or freelance bookkeeper

Independent bookkeeper serving 14 small business clients in retail, food service and professional services, with monthly closes delivered by the 10th. Moved 6 clients from spreadsheets to Xero and set up their payroll in Gusto. Certified Bookkeeper; looking for an accounting manager or lead bookkeeper position at a growing firm.

Bookkeeper resume bullet examples

Each bullet names the task, adds a number and shows why it mattered to the business. Use the pattern with your own facts.

  • Processed 300+ vendor bills a month through Bill.com with two-step approval, paying every vendor on terms.
  • Ran weekly payroll for 28 hourly employees and filed quarterly payroll tax returns with no penalties in 4 years.
  • Reconciled 6 bank accounts and 3 credit cards monthly, clearing every unmatched item within 5 business days.
  • Cut the average time customers took to pay from 52 to 34 days by sending invoices the same day jobs closed.
  • Found and recovered $3,200 in a vendor's double charges during a year-end review of 12 months of statements.
  • Set up classes in QuickBooks Online for 4 store locations, giving the owner a profit report for each store.
  • Filed monthly sales tax returns for 2 states and kept a tax calendar with zero missed deadlines.
  • Prepared and filed 1099 forms for 45 contractors each January.
  • Moved a client's books from spreadsheets to QuickBooks Online, entering 18 months of history in 3 weeks.
  • Tracked expense reports for 22 field staff in Expensify and coded each receipt to the right job.
  • Trained 2 office staff to enter receipts and invoices, freeing about 6 hours a week for reconciliations.

Certifications for bookkeepers

You do not need a license to work as a bookkeeper. Certifications are optional, but they give an owner who cannot judge your skills an outside reference, and some firms ask for them. These are the ones employers recognize most:

  • Certified Bookkeeper (CB) from the American Institute of Professional Bookkeepers: a four-part national exam, a signed code of ethics, and at least two years of full-time bookkeeping experience or 3,000 hours of part-time or freelance work, which you may complete before or after the exam.
  • QuickBooks certifications from Intuit's ProAdvisor program: exams for QuickBooks Online and other QuickBooks products, with a shorter recertification exam each year to keep the status. Useful when the posting names QuickBooks.
  • Bookkeeping certification from the National Association of Certified Public Bookkeepers: a course and exam program; the association also offers payroll and QuickBooks certifications.
  • A certificate or associate degree in accounting from a community college: not a certification, but many postings ask for accounting coursework, so list it under education.

The example, line by line

The example is for Lorena, a bookkeeper at an accounting firm who wants to work in-house for one construction company. Here is how each part helps.

Headline: Full-Charge Bookkeeper. Short, and the exact phrase the posting uses.

Summary: seven years, three businesses at once, then the full list of what she handles: payables, receivables, payroll for up to 35 people, reconciliations. It ends with her certification, her Spanish, and the kind of company she wants to join.

Certifications: two lines near the top. The AIPB credential shows tested knowledge; the Intuit certification tells an owner who runs QuickBooks Online that she needs no training on it.

Current job: five bullets. The first gives scope (3 clients, about $6 million in sales), the next two cover payroll and 11 reconciliations with a deadline she meets, and the last two show results an owner feels: late invoices down from $41,000 to $9,000, and 6 straight quarters with no CPA corrections.

Earlier job: two lines from her accounts payable years, including $8,700 in bad invoices caught, which proves the careful habit early.

Education, skills and languages: her associate degree, eight skills including job costing, and Spanish, useful on a crew-based business.

Mistakes that cost bookkeepers interviews

  • Calling yourself full-charge without the proof. If you have not run payroll or reconciled accounts, an owner will find out in the interview. Use the title that matches your real work.
  • Writing QuickBooks with no version. Online and Desktop work differently. Say which one, and which payroll system.
  • Naming clients or sharing their figures. Describe clients by industry and size. A bookkeeper who names a client's revenue on a resume raises the very worry the resume should settle.
  • No volume. Processed invoices could mean 10 or 1,000. Give the monthly count, the number of employees on payroll and the number of accounts you reconcile.
  • Hiding a freelance or family business history. Keeping the books for a relative's shop or for your own clients is real bookkeeping. List it as a job, with dates and numbers.

Frequently asked questions

What should a bookkeeper put on a resume?

Contact details, a headline with your bookkeeping title, a short summary, any certifications, each job with the number and type of businesses you kept books for and your results, your accounting education, and a list of bookkeeping skills and software.

Do I need a certification to be a bookkeeper?

No. There is no license for bookkeepers. A certification such as the Certified Bookkeeper credential or a QuickBooks certification is optional, but it can help when an employer has no other way to check your skills.

What does full-charge bookkeeper mean?

A bookkeeper who handles the whole cycle for a business: daily entries, payables, receivables, payroll, bank reconciliations and monthly reports, up to the point where an outside accountant prepares taxes or statements. Use the title only if you do all of it.

How do I list several bookkeeping clients on a resume?

Under one job, such as Bookkeeper at the firm or Independent Bookkeeper, with a first bullet that gives the number of clients, their industries and rough size. Then bullets for the work and results across them. Do not name clients without their permission.

How do I write a bookkeeper resume with no experience?

Lead with your accounting coursework or certificate and any software training, then list work where you handled money or records: cashier, office assistant, treasurer for a club, or helping a family business. Give numbers, such as deposits you balanced or invoices you entered.

Should I list QuickBooks as a skill or a certification?

Both, if you are certified. Put the certification with its year in the certifications section and QuickBooks Online or Desktop in your skills list, so the reader sees it either way.

How long should a bookkeeper resume be?

One page. Even with many clients, a single page with strong numbers reads better than two pages of duties.

What is the difference between a bookkeeper and an accountant?

A bookkeeper records transactions and keeps the accounts accurate day to day. An accountant analyzes and reports on those records, makes adjusting entries, prepares financial statements and taxes, and often holds a degree and a CPA license.

Should I include payroll on a bookkeeper resume?

Yes, if you do it. Many small businesses want one person for books and payroll. Say how many employees, how often you run it, which system you use, and whether you file payroll tax returns.

What template is best for a bookkeeper resume?

A clean single-column layout that fits a lot on one page. The compact template used for Lorena's example keeps numbers easy to scan, and hiring software reads it without trouble.
